Getting started

How do I set up Bookwell for the first time?

Create your account, then go to Settings → Practice Profile and add your clinic name, specialty, and address. Open Availability to set bookable hours. Copy your booking link from the dashboard and share it. The whole setup takes about 3 minutes.

Do patients need to create an account to book?

No. Patients book through your link directly in any browser — no account, no app download. They enter name, contact details, pick a slot, done.

Can I manage multiple clinic locations?

Yes. Practice plan supports up to 3 locations; Group plan supports unlimited locations. Each has its own availability, booking link, and pricing.

Reminders & no-shows

How do automated reminders work?

Bookwell sends a confirmation at booking, then T-72h email, T-24h SMS, and T-2h SMS by default. Each message includes a one-tap link to confirm, cancel, or reschedule — reducing friction for the patient and no-shows for you.

Can I customise the reminder message templates?

Yes — Practice and Group plans include full template customisation. Settings → Reminders to edit text, choose channels, and set custom timing.

How do deposits prevent no-shows?

Enable deposits in Settings → Payments. Set an amount (e.g. $25). Patients pay at booking via Stripe. The deposit applies to the consultation fee or refunds if they cancel within your window.

Billing & subscription

Will I be charged automatically after the free trial?

No. No card is required during the 14-day trial. When it ends your account moves to the Solo plan. You choose if and when to upgrade — we never charge without explicit action.

How do I upgrade, downgrade, or cancel?

Settings → Billing. Upgrades are instant; downgrades and cancellations take effect at the end of the current billing period. Data is retained on Solo after downgrade.

Do you offer refunds?

Monthly plans are non-refundable after the billing date. Annual plans include a pro-rata refund within 30 days of renewal if less than 2 months have been used. Contact support@trybookwell.com.

Data & security

Is patient data secure?

Yes. Encrypted at rest (AES-256) and in transit (TLS 1.3), hosted on SOC 2 Type II infrastructure. Patient records are logically isolated per practice and never shared with third parties or used for advertising.

Can I export my data?

Settings → Data Export downloads a full CSV or FHIR R4 bundle of appointment history and patient records any time. Your data is yours.

What happens to my data if I delete my account?

All practice data and patient records are permanently purged within 30 days. You receive a confirmation email when deletion is complete.
